Identify the process your current tools omit
Review cases involving approvals, investigation and multiple departments. If staff manage these steps in spreadsheets or personal messages, capture them as requirements. Voz360 supports custom forms, properties, checklists, linked conversations, notes and approvals to represent work beyond the first reply.
Evaluate the customer record and team workflow together
Open the same customer's calls, conversations, voicemail, CSAT and forms in Customer360. Then inspect a pending task or approval in the conversation. The demonstration should establish both context and action, including how supervisors find work that has stopped progressing.
Use a request that outlasts the shift
Create a sample case requiring investigation after the original agent leaves. The next agent should be able to identify what is known, what is pending and who owns the update. Inspect the case record rather than rely on a successful handover conversation between colleagues.
Recognize when an inbox stops being enough
A shared inbox can work for simple requests with one responder. The operating problem changes when a request needs approval, several teams or a promised callback. Copying colleagues does not establish an accountable owner, and a folder label rarely explains why the customer is still waiting.
Inventory the handoffs your team manages manually: spreadsheets, forwarded messages, private reminders and duplicate tickets. Identify which ones cause missed actions rather than replacing familiar tools for their own sake. The strongest requirement is a demonstrable improvement in those failure points.
Model a request with dependent work
For an illustrative refund enquiry, capture the reason in a custom form, assign an owner and require approval before the final response. Use a private note for internal reasoning. If finance needs a separate task, evaluate linked or parent-child conversations and show how the original agent knows it is complete.
Test an accidental duplicate separately. Merge, link and parent-child relationships solve different problems; merging everything can obscure ownership. Ask the team to explain which action is appropriate and what history remains afterward.
Choose the smallest workflow that covers the need
Avoid making every field mandatory immediately. Begin with the information required to assign and complete the request, then add controls where repeated errors justify them. Measure overdue actions and reopened work alongside first-response speed.
Voz360 conversation management supports structured work beyond an inbox. Demonstrate one exception-heavy request and verify the record another agent inherits before deciding that a larger feature list will improve service.
Your practical checklist
- Inspect approval work
- Check customer context
- Trace case history
- Find stalled requests
Use this checklist in a workflow review with your agents, supervisors and implementation owners. Record what the team demonstrates, which decisions need an owner and what remains to be confirmed for your deployment.
