Build a useful planning baseline
Identify contact volumes, busy periods and the teams responsible for each workload. Voz360 supports forecasting and scheduling. Confirm the available data, assumptions and planner responsibilities in the implementation scope. A forecast needs review when the service operation or contact mix changes.
Connect the plan to daily management
Use real-time schedule adherence and management to inspect the difference between planned and actual coverage. Agree how supervisors investigate exceptions and update the operating plan. WFM is an optional module for Voice or Omnichannel, with commercial and configuration scope confirmed in the proposal.
Review a forecast against a changed workload
Use a sample period where the mix of customer requests has changed. Ask planners to explain the assumptions and how the schedule is reviewed. Then inspect the daily adherence process so the workforce discussion includes both the plan and the actions supervisors take when coverage differs from it.
Keep forecasting, scheduling and adherence distinct
Forecasting estimates the work likely to arrive. Scheduling assigns capacity to cover that demand. Real-time adherence compares actual activity with the agreed schedule. Each answers a different question, and a problem in one should not automatically be blamed on the others.
Start with consistent historical intervals, request mix, handling assumptions and operating hours. Identify known events and unusual incidents. Poor source definitions can produce a precise-looking forecast that represents the wrong workload.
Work through an illustrative staffing cycle
A service team expects a recurring billing peak. The planner reviews historical demand, records assumptions and builds a schedule with required coverage and non-contact activities. During operation, supervisors compare demand and adherence with the plan and investigate exceptions.
If demand rises because customers are repeatedly chasing unresolved requests, record that process cause. More scheduled hours may address the immediate queue while leaving avoidable demand intact. Coordinate with conversation owners to reduce the underlying rework.
Review the plan with context
Compare forecast and actual demand, planned and available capacity, and service outcomes for equivalent intervals. Examine schedule exceptions before drawing conclusions about individual behavior. Include quality and completed work alongside activity measures.
Voz360 workforce management covers forecasting, scheduling and real-time adherence. Bring representative demand data and scheduling constraints to the demonstration, then confirm the configured inputs, reports and module scope before implementation.
Your practical checklist
- Map queues and shifts
- Review planning assumptions
- Define adherence review
- Assign planner ownership
Use this checklist in a workflow review with your agents, supervisors and implementation owners. Record what the team demonstrates, which decisions need an owner and what remains to be confirmed for your deployment.
