Customer service approval workflow
Agree decision authority, required evidence and exception paths before an agent makes a customer commitment.
For service managers and approval process owners.
A customer asks for an exception
- 01Capture the exception requested and the applicable policy.
- 02Identify the role authorized to decide and attach the required context.
- 03Wait for an explicit decision before making the corresponding commitment.
What to capture in your worksheet.
Decision
The request requiring authorization.
Required evidence
Information the approver must inspect.
Approver role
Role with authority for the scoped decision.
Agent boundary
What the agent may communicate before approval.
Exception and record
Backup authority and evidence of the final decision.
Filled example: adapt these choices to your operating policy.
| Decision | Required evidence | Approver role | Agent boundary | Exception and record |
|---|---|---|---|---|
| Exception to standard service process | Customer request; reason; applicable policy | Authorized service supervisor | Acknowledge review without promising acceptance | Backup approver follows policy; record rationale |
| Disputed charge review | Invoice reference; disputed amount; relevant history | Authorized finance reviewer | Explain review process without promising a refund | Escalate within approved authority; record decision |
| Specialist resolution proposal | Investigation evidence; proposed response | Designated specialist lead | Share only the information approved for release | Request clarification if rejected; preserve decision history |

Use approvals, custom forms, private notes and conversation history to support the decision record. Validate approver permissions and any external execution separately.

Required evidence absent
Approver can request clarification and the agent retains a next action.
Approval rejected
Agent sees the decision and responds within the approved policy.
Approver unavailable
Backup follows the agreed authority rather than bypassing it.
Record actual evidence, an accountable owner and an agreed result for each test. Sample outcomes describe acceptance criteria, not measured product results.

Does approval automatically execute an external action?
Do not assume so. An approval records a decision; a billing, fulfillment or CRM action requires separately scoped integration behavior and permissions.
Can I use this file to configure Voz360 automatically?
No. Use it to agree the process and scope the configuration with your implementation team. Confirm package inclusion, integrations and provider dependencies separately.
