Improve inbound efficiency by examining the full request

Inbound efficiency is often limited by information gaps and unclear handoffs. Review a customer request from arrival to completion before changing agent targets.

Find the repeated work

Inspect repeat calls, transfers, copied notes and delayed approvals. In Voz360, Customer360, conversation history and reporting can help locate these patterns. Review a small sample with agents to understand which steps are necessary and which exist because information or authority is missing.

Change one cause and measure the result

A routing adjustment, better form or clearer approval owner may help more than asking agents to work faster. Compare reopens and quality as well as handling measures. Use supervision and optional QA scoring to check that the new process still produces accurate, complete service.

Inspect why a customer called twice

Choose a sample repeated contact and compare the previous record with the new request. Ask the team to identify the exact missing step. Change that step in the pilot and review similar cases afterward, rather than assume a shorter average call will remove the repeated demand.

Your practical checklist

  • Sample repeated work
  • Review with agents
  • Change one cause
  • Check quality and reopens

Use this checklist in a workflow review with your agents, supervisors and implementation owners. Record what the team demonstrates, which decisions need an owner and what remains to be confirmed for your deployment.

Put the workflow into practice.

Bring a representative customer request and an exception to a Voz360 demonstration. Review the agent experience, the supervisor view and the record left for the next person. Confirm package scope, optional modules and provider dependencies before planning rollout.
