Tailor inbound software to the requests your team handles

Inbound configuration should reflect the reasons customers call and the decisions agents are allowed to make. Start with representative request types rather than copy another team's routing structure.

Define the intake and handling rules

For each request type, document the needed information, responsible team and possible escalation. Voz360 supports inbound operations with conversation forms, properties and checklists in connected service workflows. Keep required data limited to what agents need to route or progress the issue.

Test the configured exceptions

Use an unknown customer, incomplete information and a request requiring approval. Verify that the receiving agent can understand the work and locate the next owner. Review the resulting history with supervisors before rolling out the same configuration across all queues.

Test a request with an unusual requirement

Use a sample inbound issue that needs an additional form field and a decision from another team. Demonstrate the configured handling process and inspect its history. Review whether agents understand the exception without requiring unnecessary fields on every routine request in the same queue.

Your practical checklist

  • Map request types
  • Limit required fields
  • Test unknown customers
  • Inspect approval handling

Use this checklist in a workflow review with your agents, supervisors and implementation owners. Record what the team demonstrates, which decisions need an owner and what remains to be confirmed for your deployment.

Put the workflow into practice.

Bring a representative customer request and an exception to a Voz360 demonstration. Review the agent experience, the supervisor view and the record left for the next person. Confirm package scope, optional modules and provider dependencies before planning rollout.
